RICE Exhibitor Terms

Please review the following terms for exhibiting at the 2025 Rochester Indie Comics Expo, wherein you, the Exhibitor, is henceforth referred to as “I”, Western New York Comic Arts is referred to as the “Event Hosts”, Sibley Square is referred to as the “Event Venue”, and RICE 2025 as the “Event”.

Failure to adhere to the the terms of this agreement may result in your immediate removal from RICE 2025 as well as jeopardize your involvement with future events organized by Western New York Comic Arts.

  • I agree that I will conduct myself in a manner that is respectful to my fellow Exhibitors, the Event Hosts and volunteers, venue staff, and the guests of the Event at all times. I understand that if I break this agreement, I will be asked to leave the Event immediately. 
  • I agree that I will not cause any damage to the space, or to any property within the Event Venue. If I do, I agree that I will pay for the assessment, labor, and materials to fix or replace the damage.
  • I agree that the Event Host and Event Venue will not be held responsible for any personal injury that occurs on the premises. 
  • I agree that I am responsible for my belongings, products, and/or goods, and neither the Event Host nor the Venue will be held responsible for any lost, stolen, or damaged property. 
  • I agree that I am responsible for clearing all my waste generated at the Event and depositing it on the proper waste receptacles on-site at the Event Venue.
  • I agree that I will not transfer my table to another Exhibitor unless previously discussed with the Event Host.
  • I agree that I will not sell food or beverages. 
  • I agree that I will adhere to all COVID-19 safety protocols set by the Event Host, which may include wearing a mask at all times while in the Exhibitor Hall area of the Event Venue. Updated COVID protocols will be communicated prior to the event, based on state and county guidelines.
  • I understand that this is an all-ages event and I agree that I will only openly display content that is “family friendly” (SFW). Adult (18+) only (NSFW) art must be hidden or covered and only shown per request with an ID proving the attendee is 18 or older. I agree that it is my responsibility to verify attendees are 18 or older.
  • I agree to only sell and display content that I have the rights to, pursuant to U.S. Copyright Law (Title 17 of the United States Code). I agree that I am solely responsible if found to be selling infringing content. The Event Hosts are not liable for any infringing content at my table and is not responsible for policing or enforcing intellectual property.
  • I understand that bootleg, AI generated, and/or stolen artwork are strictly prohibited at the Event and if I am found to be selling any such material, I may be asked to forfeit my table.
  • I have read and agree to follow the Event’s Code of Conduct and Anti-Harassment Policy.
  • I agree to be responsible for the behavior of anyone I bring to assist with my table at the Event, for the duration of the Event, and that they are to be held to the same standards I have agreed to above.
